About your role

As the Operations Support Specialist, you will play a crucial role in ensuring the smooth and efficient execution of Fairphone's circular operations, covering repair, refurbishment, and take-back activities. You will support the Circular Operations team with tasks like looking at data, handling invoices, managing processes, and helping with team projects. This role will be the central point of contact between the Circular Operations team and customer support team, working closely with our Repair Manager and Reuse & Recovery Manager. You will also work closely with teams like Quality Management and Business Operations. Being organized, good at solving problems, and always looking for ways to improve will help you succeed in making our circular economy plans work even better.

Key Responsibilities & Objectives

Cost-efficiency 
  • Manage invoicing processes related to the circular operations activities.
  • Collect data for In Warranty claims to ODMs.
  • Keep the out-of-warranty spare parts pricing list updated.
Quality & Compliance 
  • Maintain & update our stock in the Fairphone ERP Odoo.
  • Support data and stock clean-up activities.
  • Maintain and update the Confluence knowledge base for the repair centers, ensuring information accuracy and accessibility.
  • Manage and resolve the Circular operations team-related escalations.
  • Support with process improvements.
New product introductions & new repair center implementations
  • Help create and update the necessary documentation and deliverables for product launches and repair center implementations.
Additional Team Support
  • Serve as the primary point of contact with our customer support team. 
  • Provide support across all circular operations projects, including repair, take-backs & refurbishment.
Key Objectives
  • Streamline Operations: Manage administrative tasks, including data analysis and invoice processing, to ensure efficient daily operations.
  • Optimize Processes: Support the improvement of key operational processes for repair, DIY repairs, recycling, and refurbishment.
  • Handle Escalations: Effectively manage and resolve escalations to maintain smooth workflows.
  • Facilitate Communication: Act as the primary contact between the Circular Operations team and Customer Support, ensuring clear and consistent communication.
  • Support Claims: Assist with in-warranty claims to ODMs.
  • Projects: Contribute to various circular economy projects, such as New product introduction (NPI) & repair centers implementations.

Your Skills & Experience
  • You have a minimum 2 years minimum of proven experience working within operations departments, ideally within a product-focused environment.

  • You have some formal training in Business Administration/Operations.

Operational & Analytical Skills

  • Strong organizational and time-management skills to handle multiple administrative and operational tasks.

  • Excellent attention to detail, especially in data entry, stock management, and invoice processing.

  • Solid analytical abilities to interpret operational data and identify process improvement opportunities.

Technical & Tools Proficiency

  • Experience with ERP systems (preferably Odoo) for stock management and data updates.

  • Proficiency with Excel/Google Sheets for data analysis and reporting.

  • Comfortable working with ticketing or CRM tools ( Jira is a plus).

  • Preferably, you are familiar with working with macOS, Google Workspace, and Basecamp.

Process & Project Support

  • Ability to document and maintain operational procedures and project deliverables.

Communication & Collaboration

  • Excellent communication skills (written and verbal).

  • Strong stakeholder management - you are able to liaise effectively between operational teams, customer support, and external partners.

  • Proactive problem-solving and escalation management.

  • Team-oriented attitude, with the ability to collaborate across departments.

  • You have excellent written and verbal communication skills in English.

Circular Economy & Sustainability Awareness

  • Interest in or understanding of circular economy principles: repair, refurbishment, and recycling processes.

  • Awareness of sustainable operations or product lifecycle management is a plus.

  • Strong organizational and time-management skills to handle multiple administrative and operational tasks.
